The Los Angeles County Fire Department Association of Chiefs (the “Association” or “LACoFD AOC”) operates this website and the AOC member app for the chief officers of the Los Angeles County Fire Department and the Association’s retired and associate members. This policy explains what information the Association collects, how it is used, and the choices members have.
Information the Association collects
Membership information. When a person registers, the Association collects the name, personal email address, cell phone number, Department employee number, rank or classification, section, and membership type needed to verify eligibility and maintain the roster. Members may also add a mailing address and current assignment to their profile.
Account and security information. The Association keeps records needed to protect accounts: sign-in history, the devices a member chooses to remember, the codes sent to confirm an email address or phone number, and the date, time, and network address at which a member gave or withdrew a consent.
Participation records. Event RSVPs, ballots cast in Association votes (recorded without names when a vote is a secret ballot), and announcements read through the member pages.
Device information for notifications. If a member turns on phone notifications in the AOC app, the Association stores the notification address the member’s phone provides so that it can deliver those notifications. It does not store a member’s location.
The website uses cookies only to keep members signed in and to remember their preferences. It does not use advertising cookies or sell information to advertisers.
How the Association uses information
The Association uses this information to verify membership eligibility, maintain the membership roster, deliver official notices, meeting reminders, ballots, and announcements, protect member accounts, produce the members-only directory, and administer the affairs of the Association as a labor organization, including collective bargaining on behalf of Bargaining Unit 605.
Text messages
Members who provide a cell phone number and agree to receive text messages may be sent one-time codes to confirm the number or sign in, meeting and event reminders, and notices from the Executive Board. Message frequency varies. Message and data rates may apply. Text messages are optional and never a condition of membership; sign-in and account-recovery codes are also delivered by email. Members can stop at any time by replying STOP to any message or by changing their preferences in My Profile. The full terms are in the Text Message Terms.
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. The Association uses a messaging provider only to deliver its own messages.
Who can see member information
The Executive Board and the officers who approve registrations see membership information in order to verify eligibility and maintain the roster. Other members see a member’s name, rank, and section in the members-only directory, and see the email address or phone number only if that member has chosen to show it in My Profile.
The Association uses service providers to run the website and deliver messages: a web hosting provider, a network and security provider, a text-messaging provider, and an email provider. These providers process information only on the Association’s behalf and only to provide their services. The Association does not sell member information and does not share it with any party for that party’s own marketing.
The Association may disclose information when required by law or to protect the rights, safety, or property of the Association or its members.
Retention
Membership records are kept for as long as a person is a member and afterward as required for the Association’s records as a labor organization and nonprofit corporation. Consent records are kept for as long as the consent is relied on and for a reasonable period afterward. Security codes expire within minutes and are not retained.
Members’ choices
Members can review and update their information, choose what the directory shows, turn text messages and phone notifications on or off, and withdraw electronic-notice consent at any time in My Profile. A member may ask the Secretary to correct or delete their information by emailing info@lacofdaoc.org, subject to the records the Association is required to keep.
Security
Information is transmitted over encrypted connections, passwords are stored only as one-way hashes, and officers’ accounts require two-step sign-in. No method of transmission or storage is completely secure, and members should keep their passwords private and report any concern to the Secretary.
Children
This website is for the Association’s members and is not directed to anyone under 18.
Changes to this policy
The Association may update this policy from time to time. The effective date above shows the latest revision, and material changes will be announced to members.
